Lately, I’ve seen many friends who have just moved to Spain discussing their children’s schooling on forums, especially how to apply to private schools. Since I just went through the process for my own kid, I wanted to share my experience and the lessons I learned to help everyone out. When it comes to applying to private schools, it’s better to be early than late—good schools have very limited spots!

Core Document Preparation
No matter which private school you’re applying to, there are some basic documents for private school admissions that you will definitely need. Each school may have slight differences, but they generally require the same core items. I recommend scanning digital copies of all your documents in advance; many schools support online uploads during the application, which makes things much more convenient.
Essential Documents Checklist
- Child’s identification: Such as a passport, NIE, or Family Book (Libro de Familia). For international schools, a passport is almost always mandatory.
- Parent’s identification: Passport and NIE as well.
- Proof of residence (Empadronamiento): This is very important as it certifies your permanent address.
- Child’s birth certificate: If issued outside of Spain, it needs to be legalized (e.g., with an Apostille) and officially translated into Spanish.
- Vaccination record: This must be up-to-date, as some schools are very strict about it.
- Previous academic records: If your child is not starting from kindergarten, you’ll need to provide transcripts from their previous school, which may also require translation and legalization.
- Health certificate: Some schools may require a medical certificate from a doctor in Spain confirming that the child is fit for school and group settings.
Application Process and Timeline
The application process isn’t complicated, but it can be quite long. The key is to start “early”! Popular private schools typically start accepting applications for the next academic year from September to December of the preceding year. For example, if you want your child to start in September 2025, you should begin the process for Spanish private schools in the autumn of 2024.
| Key Step | Suggested Timing | Notes |
| School Selection / Open Days | Sept - Dec of the year before entry | Attend Open Days, speak directly with school staff, and get a feel for the atmosphere |
| Submit Application | Nov of the year before entry - Feb of the entry year | Submit online or in person, pay the application fee |
| Entrance Exam / Interview | Jan - Apr of the entry year | Assesses the child’s language, academic skills, and adaptability |
| Receive Offer Letter | Mar - May of the entry year | The school will send an offer; note the confirmation deadline |
| Pay Deposit / Fees | As required after receiving the offer | Usually, a “matrícula” (enrollment fee) must be paid by a deadline to reserve the spot |
The interview stage is a concern for many parents. For younger children, it’s mainly about observing their behavior and basic communication skills. For older children, some Spanish private schools may have a written test in Spanish, English, and mathematics. Parent interviews are also common, as the school wants to see if the family’s educational philosophy aligns with its own. Just relax throughout the process and treat it as a mutual getting-to-know-you session. I wish all your kids a successful admission into the schools of their dreams!
